Managing NDIS Transport from March 2020

Before you could configure the client’s transport and transport funding, you need to make sure that the service type has the maximum transport mileage set from the service type page (administration from main menu and then clicking on service type from sub menu). If the service type maximum transport mileage is set to 0, support workers will not see the transport option within their Mobile app and transport will not be billed to the client. The service type setting will be used for all clients that uses that service type and not for just a specific client.

As of March 2020, NDIS released multiple transport codes that can be used for claiming transport based on the service type category. Below are the list of new service types that has been added to Brevity for transport:

Adding the Service type to the client’s funding

The transport service type should be added to the transport funding. If you are billing the main services and transport using the same funding, you could just add the transport service type to their main funding. If the transport is using another funding source, then you need to create a new client funding with a different funding source.

Take note that Brevity will not allow you to publish two client funding records that contain the same service type that if they have overlapping dates.

From the client’s funding page, click on the + sign under the service section to add the transport code.

Fill in all the details for the new client funding service type. Click on the save button on the upper left to create the new client funding service type.

Before you could proceed to the next step, you need to click on the unpublish button so that the client’s funding will go back to the setup mode. If you didn’t unpublish the funding, you cannot complete the next step.

Once you have added the transport service type to the funding, you need to link it to the service types that you will do transport for, in order to invoice the transport component from those services to the transport funding. To do this, double click on the service type from the list that you will be doing transport for.

Once you are on the Client’s service type page, click on the transport funding code on the right side so you could link the transport funding to the service type. Once you click on the transport funding code. Click on the save button on the upper left corner of the page to save the transport code detail.

Once you have edited the client’s funding, you need to click on the publish button to make the client’s funding live again.

Transport Rate

The transport distance rate can be set from the service schedule. There are ways on how to set the Transport Rate.

Adding the transport rate from Schedule Board

You could edit the transport rate when you double click on the service schedule from the schedule board. When you see a bus icon with number beside it, that is an indication that there is a transport for the service schedule.

You could set the transport distance rate from the travel section. Once you have set the rate, click on save button to save the transport distance rate.

Adding the transport rate from the Service Schedule Template

You could add the transport rate when you are creating the Service Schedule using the service template. Inside the service template items, you could add the transport distance rate so when you created the service schedule, the transport distance rate will be in every service schedule of the client.
