API Managed Plan Budgets

 

Introduction

For those plan managers that are using the NDIS API, budgets for new and existing participants can be managed within Brevity. Through the API connection changes to existing or the creation of new service category budgets will be synchronized back to PRODA and conversely any budget changes made within PRODA will be synchronized through to Brevity and the associated plan management budget record.

For new plans that have been registered, Brevity will establish the budgets against the plan management record as part of the registration process.

Please note that service booking category must already exist within PRODA. This process is applicable only to NON-PACE plans.

The following is a summary of the fields configured into the Plan Management Plan Budget record.

  • Plan Management Plan: This is a drop down field that references the plan management record.

  • Category: This is a drop down field that lists the budget category that are associated with the service type category retained within the Brevity application. For PACE plans the categories are used to redirect funds within the participants plan, whereas for NON PACE plan the PM can establish new budgets categories under the participants plan.

  • Full Budget Amount: This field is used to register a budget for the selected category.

  • Available Budget: This field is used to register the budget amount for the selected category that has been released by the NDIS.

  • Previously Used: This field is used to register a $amount that was previously used in connection with the clients plan prior to the plan record being registered within the Brevity application.

  • Utilised: This is a system field that is updated automatically as per the invoices registered against the plan that have been paid or partially paid.

  • Balance: This is a system field that is updated automatically to reflect the sum of the available budget - previously used + utilised amounts.

  • Component total: This field is used to register the total available budget once all funds have been released.

  • Next Release Info: This field is updated automatically and reflects the release information on the plan budget category (example 3 months ($3685.81 releasing on 26-Sep-25).

  • Budget Period Duration: This field lists the duration or the budget period based upon the information synced through from PRODA.

  • Budget Period Start Date: This field lists the commencement date of the budget period for funds being released based upon the information synced through from PRODA.

  • Budget Period End Date: This field lists the cessation date of the budget period for funds being released based upon the information synced through from PRODA.

  • Budget Period Amount: This field lists the $amount on the budget category that has been released during the period based upon the information synced through from PRODA.

  • Budget Period Released: This field is set to YES if the funds have been released, future release periods are set as NO.

  • Plan Budget: This is a drop down field that references the plan management budget record

 


Creating a Plan Budget Record

For Non PACE plans to create a new service category budget click the edit budget icon located above the budget record grid, to display the Manage Budgets form. click the + ADD BUDGET button to set a blank line. Assign the Service Category and budget amount.

Click the SAVE button to error check and update the Plan within PRODA.

 


Managing Service Budgets

For PACE plans, to adjust the service category budget observe the following steps

 

  1. Click the edit budget icon located above the budget record grid, to display the Manage Budgets form.

  2. Select the Budget categories listed within the FROM and TO field to set where the funds will be transferred from and to.

  3. Input the $amount being transferred within the $Budget field.

  4. Click the SAVE button to error check and update the Plan within both Brevity and PRODA.

Reviewing the Budget Category through the Plan Management Invoice Import screen

 

The Plan Management record budget categories are visible through the invoice screen that is accessed from the Care Management>Plan Management Invoice Import menu.
