Service Delivery

Introduction

The support Coordination Service Delivery screen lists the records raised for the amounts being claimed by the Service Coordinator for the services delivered to the participant. The records listed are created through this module as well as through the budget utilisation section of the client's support coordination record.


Navigating the Support Coordinator Service Delivery Record

The following is an outline of the fields that comprise the Service Delivery Record form:

  1. Name: This field is used to specify the name of the service delivery record, the input of data is optional.

  2. Support Coordination Service: This field is used to specify the name listed on the Support Coordination Service record.

  3. Support Coordination Service Provider: This is a drop down field that lists the names of individuals and organisations that are registered within Brevity as a provider of support coordination services.

  4. Date From: This field is used to list the start date of the service delivery.

  5. Date To: This field is used to list the end date of the service delivery.

  6. Description: This field is used to describe the service(s) being delivered.

  7. Total Hours: This field is used to define the total hours involved in the delivery of the service(s) .

  8. Expense Total: This field is used to define the total cost of expenses involved in the delivery of the service(s) .

  9. Total Claim Amount: This field is used to define the total cost of the service(s) being claimed.

  10. Internal Comments: This field is used to register ad-hoc or incremental notes.


Adding a Service Delivery record

To create a Service Delivery record observe the following steps:

  1. Select the Care Management>Service Delivery sub-menu.

  2. From the Support Coordination Service Delivery List page, click the New button to open up the New Service Delivery record page into the browser.

     

  3. Within the Name field input a description of the service delivery record.

    This information may relate with a specific requirement or need that will will be delivered thus enabling the client to achive a particular goal... example; Aarons, Daniel - 1942 - Pilates to improve general mobility and reduce muscle atrophy.

     

  4. Within the Support Coordination Service field, either input or select from the drop down list the coordination record applicable within the service delivery record.


    If a support coordination record is not available for association to the service record select the icon to create a Support Coordination record.

     

  5. Within the Support Coordination Service Provider field, either input or select from the drop down list the service provider applicable he delivery of the service. 


    If a service provider record is not available for association to the service record select the icon to create a Support Coordination Service Provider record.


  6. Within the Date From field specify the service start date. The date can be specified as free text or by using the calendar picker.

  7. Within the Date To field specify the service end date. The date can be specified as free text or by using the calendar picker as shown in the preceding step.

  8. Within the description field input a narrative of the service being delivered to the participant.

  9. Within the Total Hours field input the total number of hours involved in the delivery of the service.

  10. Within the Expenses Total field input the total of any expenses associated with the delivery of the service.

  11. Within the Total Claim Amount field input the total service delivery cost.

  12. Select the SAVE button to create the service record.

    Within the Internal Comments input notes that are related with service delivery.

  13. Select the CLOSE button to exit back to the Support Coordination Service Delivery List page.


Editing the Service Delivery record

To edit a Service Delivery record observe the following steps:

  1. Select the Care Management>Service Delivery sub-menu.

  2. Search for the service delivery record from within the support Coordination Service Delivery list.

  3. Highlight the service delivery record to be edited and either click on the edit button or double click on the service delivery record to open it within the support Coordination Service Delivery form.

  4. Update the service delivery details.

    When editing the service delivery record ensure that all fields marked with an * are identified with a value. Field values that can be updated do include:

    Name
    Date From
    Date To
    Description

    Total Hours

    Expenses Total

    Total Claim Amount
    Internal Comments

  5. Once done, click on the SAVE button to save the revised service delivery detail.

  6. Select the CLOSE button to exit back to the Support Coordination Service Delivery List page.


Delete the Service Delivery record

Although not recommended, and you are referred to the notes on record deactivation. To delete a Service Delivery record observe the following steps:

  1. Select the Care Management>Service Delivery sub-menu.

  2. Search for the service delivery record from within the support Coordination Service Delivery list.

  3. Highlight the service delivery record to be deleted.

     

  4. Select the "Delete Button" in the upper right portion of the window.

     

  5. Select the OK button from the Delete Record pop-up screen, to remove the selected record. Record listing will refresh.

 


Adding a Service Delivery through support coordination record

To create a Service Delivery record against a support coordinator record observe the following steps:

  1. Select the Care Management>Support Coordinator sub-menu.

  2. Search for the support coordination record from within the support Coordination list.

  3. Highlight the support Coordination record to be edited and either click on the edit button or double click on the support Coordination record to open it within the support Coordinator form.

     

  4. Scroll down to the services panel and select the Add button to open the New Support Coordination Service record form.

     

  5. Refer to Support Coordination Services for additional information on registering a service record.


Activate and Deactivate a Service Delivery record

To edit the activity status of a Service Delivery record observe the following steps:

  1. Select the Care Management>Service Delivery sub-menu.

  2. Search for the service delivery record from within the support Coordination Service Delivery list.

  3. Highlight the service delivery record to be edited.

  4. Either click on the edit button or double click on the service delivery record to open it within the support Coordination Service Delivery form.

  5. To deactivate the Service Delivery record select the Deactivate button . Deactivating the record will set it to read-only.

  6. To activate the Service Delivery record select the Activate button.

  7. Once done, you can exit back to the Support Coordination Service Delivery List.

 


Service Delivery record Mail Merge

The Service Delivery feature is supported by a mail merge capacity, that allows the organisation to incorporate data from the Service Delivery into a custom designed MS Word report.

  1. To access the Mail Merge feature click on the MAIL MERGE button located in the ribbon bar to expand the mail merge panel.

  2. To create a Service Delivery template click the Download template link to present the following pop-up screen within the browser.



    Select the OK button to open the supportcoordinationservicedelivery template into MS word

  3. Once MS Word opens:

    Enable editing

     


    Select the XML Mapping Panel to open XML Mapping Panel located to the right of the word document


    From the Custom XML Part drop down list select the http://brevity.com.au/supportcoordinationservicedelivery XML part
    Expand the supportcoordinationservicedelivery to list the service delivery data fields that are available for assignment into the word document.


    Establish the document structure
    To assign the data links position your cursor in the word document where the data link will be located.
    Right click the data element from within the XML list to present a floating menu, listing the option > Insert Content Control.

      


    selecting the menu option > Insert Content Control, will list a set of object options. Select the option Plain Text.

     

     

    The selected item of data will be positioned into the word document.

    Repeat these steps until all the necessary data fields have been embedded into the word document.

  4. Save the word document off onto a drive folder.

  5. From within the Mail Merge panel of the Support Coordination Service Delivery List select the Upload document link to open the File Upload screen within the browser.



    Within the File Upload window, search for and select the support coordination document.
    Select OK to update the Mail Merge panel with the service delivery document




  6. To undertake a mail merge, ensure the required record is selected within the Support Coordination Service Delivery List page.

  7. Select the floating menu as denoted within the […] to the right of the word document. Select the Mail merge option to generate your mail merged support document.
