Managing Support Coordination Provider Quotes

This page guides you through the creation of new and the management of existing Support Coordination provider quote records.

Introduction

Quotation records are a component of the Support Coordination record profile which list both the service requirement and the quotation for supports and service as delivered by the service provider that will assist the participant in reaching their goals.

 


 

The following is an outline of the objects and columns that comprise the Provider Quotes data grid 

  1. New record: This button is used to create a provider request quote record.

  2. Name: This column identifies the both the service category and service provider name.

  3. Provider: This column lists the name of service provider related with the request quote

  4. Budget %: This column is used to reflect the quote amount as a percentage of the associated budget category.

  5. Service Hours: This column is used to list the number of hours that are covered under the requested quote.

  6. Quote Number: This column is used to list the providers reference number as presented on the quote.

  7. Quote Date: This column is used to list the quote request date.

  8. Quote Accepted: This column is used to identify if the quote has been accepted.

  9. Action: This column is used to edit the provider quote record. Selecting the edit link will open the update quote page.

  10. Show record listing: This setting is used to determine the number of records listed within the Budget data grid.

  11. Scroll: This setting allows for navigating across multiple pages.

 


 

The following is an outline of the buttons and fields that comprise the Request Quote page: 

  1. Budget: This is a dropdown field is used to list the budgets created through the Support Coordination budget page against which the provider quote can be registered against.

  2. Service Provider: This is a drop down field that lists the service providers that have been registered within Brevity.

  3. Quote Request Date: This field is used to input the date that the quote for the service was requested. The date can be specified as free text or by using the calendar picker.

  4. Quote Date: This field is used to input the date as listed on the quote. The date can be specified as free text or by using the calendar picker.

  5. Quote Number: This field is used to list the providers reference number as presented on the quote.

  6. Met with Client: This field is comprised of two radio buttons to identify whether the client has been engaged with in relation to the Quote.

  7. Comments: This field is used to input comments related with the quote or conversation undertaken with the client.

  8. Date From: This field is used to input the start date of the service as covered under the requested quote. The date can be specified as free text or by using the calendar picker.

  9. Date To: This field is used to input the end date of the service as covered under the requested quote. The date can be specified as free text or by using the calendar picker.

  10. Quoted Amount: This field is used to input the amount associated with the quote.

  11. Budget Percentage: This field is used to reflect the quote amount as a percentage of the associated category budget.

  12. Quote Accepted: This field is comprised of two radio buttons to identify whether the quote has been accepted.

  13. Details of provided Service: This field is used to input a detailed narrative of the quoted services being delivered to the client.

  14. Service Hours: This field is used to input the number of hours as covered under the requested quote.

  15. Command buttons: These buttons are used to either save or cancel the request.

 


Create a Provider Request Quote

To create a Provider Request Quote observe the following steps:

  1. Access the Brevity Self Service portal using your allocated login credentials.

  2. Click the Support Coordination Menu.

  3. Depending on the number of support coordination records registered slide the screen till you come to the record that you wish to review.

  4. Click on Edit button to open the record into the the Update Support Coordination page.

     

  5. Select the New Button located above the Provider Quotes data grid to open the Request Quote page.

     

  6. Within the budget field select from the drop down list the category budget that the Provider Quote is applicable to.

     

  7. Within the service provider field select from the drop down list the provider associated with the quote.

     

  8. Within the Quote Request Date, input or select from the calendar picker the date that a request for a quotation was made.

  9. Under the Comments Details panel input the following information is it known, otherwise update the Request Quote when that information becomes available:

    Update the Meet with client field value to YES if applicable.
    Within the comments field, if a there has been interaction with the client regarding the quote, input a narrative of conversation that occurred or particulars of the quotation.

  10. Within the Date from field specify the commencement date of the service or support. The date can be specified as free text or by using the calendar picker.

  11. Within the Date from field specify the commencement date of the service or support. The date can be specified as free text or by using the calendar picker.

  12. Within the Quoted Amount field specify the $value of the quote, if not known then assign 0.00.

    If the quote amount exceeds the budget remaining you will be alerted with an insufficient budget warning as shown below.
    Select OK and either adjust the amount of the quote or increase the budget amount.

     

  13. Under the Details panel input the following information is it known, otherwise update the Request Quote when that information becomes available:

    Within the Quote Date field specify the date of the Provider quote. The date can be specified as free text or by using the calendar picker.
    Within the Quote Number field input the unique reference number as provided by the provider.

  14. Update the Quotes Accepted field value to YES if applicable.

  15. Within the Details of Provided Service field, if the quote has been accepted, input a narrative of services and support being quoted and delivered.

  16. Under the Acceptance panel input the following information is it known, otherwise update the Request Quote when that information becomes available:

    Within the Service hours field specify the duration of the service in full hours, if not known then assign 0.

  17. Select the Request button to create the request record, close down the page and update the Provider Quotes data grid with the created record

     


Edit a Provider Quote

To edit a Provider Request Quote observe the following steps:

  1. Refer to steps 1-4 as outlined under topic Create a Request Quote.

  2. Select the edit link within the action column for the Provider Request record that is to be updated.

     

  3. Under the Details panel input the following information if it hasn’t already been done:

    Within the Quote Date field specify the date of the Provider quote. The date can be specified as free text or by using the calendar picker.
    Within the Quote Number field input the unique reference number as provided by the provider.

  4. Under the Acceptance panel input the following information if it hasn’t already been done:

    Update the Quote Accepted value to YES if applicable.
    Within the Details of service provided field, input a summary of the services and supports being quoted and delivered
    Update the Service Hours Field with the number of hours being delivered in accordance with the quote

  5. Select the SAVE button to update the quote record, close down the page and update the Provider Quotes data grid grid.
