The support worker apps are available for both web and mobile, and allows the support workers to view their client profiles, their roster, and complete timesheets and care notes for services. This guide describes how to give support workers access to the support worker apps and how to use the support worker apps.

Setting up Support Worker Access

Granting care workers access to their client profiles and roster via the care worker apps, is done via their employee profile in Brevity. Please note that only admin users are allowed to manage logins for employees. To setup the employee login, open their record in Brevity via the Employees > Employees menu link, then click the Manage Login button on the toolbar. 

This will open the following pop-up screen. Assign the user both a Username and Password, select Care Worker Apps Only as the role, and click Save to set the login detail for the employee. You can now provide these details to the care worker. They are able to use the username and password to access the care worker apps.


Support workers will also require your organization's company code to access the apps. Take note of the company code from the manage login page because that is included in logging in to the support worker web app and Brevity mobile app.

Support Worker Web App

Support workers can access the web app via the Url below:

https://timeapp.brevity.com.au/


They are able to access the app using their assigned username and password, and your organisations the company code.

Using the Support Worker Web App

Once logged in, they will see the screen below, which will allow them to do the following:

  1. Company info – Displays company documents that have been shared with employees. These are documents loaded within Brevity under the Administration > Branch Setup screen.
  2. Incidents - This page lets you create and track the accident / incident report of the client. 
  3. Leave - This page allows the employee to file a leave request. On this page, the employee could also track the status of their leave and this page also show the employee's previous leave records.
  4. Roster - This page shows all shifts for the logged in user, including future shifts available to work on. From this page support workers can view client profiles, and complete timesheets and shift reports.
  5. Profile – view and update the care worker’s personal information.
  6. Logoff – tab to click in order to log out of the app.

Incidents Page

This page contains the accident / incident reports that has been filed by the support worker / or client's that are linked to the support worker.


Support Worker can create a new accident / incident report by clicking on the +New Incident Tab.


The support worker must filled in all the information for the incident report. The support worker can only file an accident / incident report to the clients that they are linked or have a service schedule. Once they are done filling in the information, they need to click on the save button to create a new accident / incident report.


You can review and edit the Accident / Incident that is still on the Open status by clicking on the view icon. Once the Status has been changed by the administrator, the Incident report cannot be seen. Leave Page

Leave is a page from Support Worker App that lets the support worker file a leave. The support worker could also track the status of their leave and check the previous leave record on this page.


Support Workers could file a leave by clicking on the + Apply for Leave tab.


After clicking the tab, it will open a page wherein they could input their leave details. After filling in the leave details, they need to click on the save button to create a new leave record.

Roster Page

This tab contains all of your shifts. You can search on a client’s name by typing into the search box or choose a from and to date to filter the list. Client contact information can be viewed by hovering over the client's name in the list


You can click on the green client icon on the list to view their complete profile.


You can view and submit timesheets and shift reports by clicking on the clock icon on the list for the related shift.

Completing Timesheets and Shift Reports

Clicking on the clock icon on the service list will display the page below.


From here support workers can complete their timesheet, provide shift comments/care notes, report on progress made toward goals (if setup for the client), as well upload any images or documents for the shift. 

There is a Save Draft button in the bottom right to save progress and return later, or a Save & Submit button to save and finalize the report, which will complete the service in Brevity.

Profile Page

The support worker could update their contact details from the Profile Page. Support Workers could also change their username and password from this page. They could also manage the languages they could speak and write from this page.


They could save the changes for the profile details by clicking on the save button.

Support Worker Mobile App

Brevity Care Software Mobile App is an application for your mobile where you can check your upcoming shift(s), file a leave, create an incident that happened with the client and view shared documents.


Brevity Mobile App can run in both Android and iOS platform.

Downloading the Mobile App in Android

You have two ways to download the app in the Android Platform.


First, open google play from your mobile and search for "Brevity Care Software". Install the application and you can use the application on your mobile.

The software requires at least an Android version of Jelly Bean (Version 4.1). Refer to your mobile manual how to check which version of Android your mobile is running.


The second way to download the app is by going to our website (https://www.brevity.com.au/), scroll to the very bottom of the page, and click on the icon get it on google play.

It will open the Google Play Store so you can download and install it on your mobile.

Downloading the Mobile App in iOS

There also two ways to download the mobile app using iPhone devices. First, you can go to the app store and search for Brevity Care Software. Install the app then after installing, you can use the app

Brevity Mobile App requires iOS version 9.0 or later. Refer to your mobile manual on how to check your iOS version. Brevity mobile app is compatible with iPhone, iPad, and iPod touch devices.


The second way to install the app is by going to our website (https://www.brevity.com.au/), scroll to the very bottom of the page, and click on "Download on the App Store" button. The link will open the app store so you can install it.

Sign In Screen

The first screen you will see when you open Brevity mobile app is the Sign in screen. The username and password can be created in the Brevity Software under the employee's section (see Manage Employees Login). 


The first row is your username, followed by the password, and then lastly, the company code. The company code can be obtained when you create the username and password for the employee.  Click login to go to the main page of the mobile app.

The Dashboard

After logging in, the default page that you will see is the dashboard. The dashboard contains different information regarding your shift.

  1. Shift Navigation: You can see different shifts in this section. This allows you to open upcoming shifts, past shifts, unconfirmed shifts, and available shifts. 
  2. Shift Graph: This graph can show you the completed hours and shift you made for this week. Click on the graph to see details of the graph.
  3. Shift Panel: This section shows you the shifts that are scheduled to you. It also displays who is your client, the service that you need to do with the client and the total number of shift hours for this day. 
  4. Navigation Panel: You can use this panel to do different tasks within the mobile app.

Checking the shift

Before you can start the shift, you can check the shift details and check the details of the client. To do this, you just need to click the name of the client from the shift panel and it will show the client's detail.

Below is the list of the details for the shift :

  1. Name of the Client
  2. Service that needs to be done for the shift
  3. Time and Duration of the shift
  4. Shift Comments
  5. Address of the Client: This is the address of the client. If you click the address, it will open your default map navigation to determine location. If you have two or more navigation application in your mobile, there will be a prompt asking what do you want to use for navigation.

       6. Home Phone Number: Clicking on the Home phone number will open the default application for you to call in your mobile. If you have two or more application, it will have a prompt so you can choose what application you want to use.

      7. Mobile Number:  Clicking the mobile number will do the same thing as a home phone number. it will open the application where you can call the client.

      8. View Client's Document: This is the shared document for the client that you uploaded in their client profile (see How to upload/attach documents). Clicking this will open the shared document of the client. 

       9. View Summary Report: This is the summary report/details of the client. Clicking this link will display the client's gender, age, the language they speak, address, phone number, mobile number, condition and service history. You can also check here the present and previous shift for the client.

Starting the shift

Before you start your shift, your location in your mobile should be enabled. Brevity tracks your location when you start your shift.


If your shift with the client will start, it will show a notification that allows you to start your shift. This will show 15 minutes before the start of the shift.

If you want to start your shift, you can click on the "start shift" button. 


Brevity will track your location after you press the start shift. If brevity cannot locate you, it will show you this error.


You can still start the shift by clicking continue. It will have a confirmation pop up. Click OK to continue starting the shift.


If the shift has started, it will show another option where you can log out, take a break or cancel.

Ending the shift

There are two ways to end the shift. First is by clicking on the end shift button from the dashboard. If you click the end shift button from the dashboard, you cannot edit the work summary page for the shift.


The second way is by entering the details for the shift and then click save. 


After you save the shift details, you can let the client sign in the app for confirmation. The location of the client signature section may vary from different devices, you can scroll to the bottom to see the client signature section.


You can click the client signature after you click save. If you click save, that means that you already finished the shift. A pop up will show so the client could sign. The client needs to rate your service by using the stars button. 1 star means poor service and 5 stars means excellent service. 

After the client signed, click submit so that the client's signature will be saved in Brevity software.

Selecting the Range of the Shift

You can select the Date(s) that you want to show in the Brevity App. To do this, click on the 3 dots button on the upper right corner of Brevity App.


Then select the date(s) that you want to show the shift(s).

 

Click Apply to save the changes.

Brevity Mobile App - Leave

Employees could file a leave using Brevity Mobile App. They could also check the status of their leave. Click the leave tab to go to the leave page.


From the picture above, the employee has already filed a leave. The checked green icon means that your leave has been approved. The red X icon means that your leave has been declined.

Filing a Leave

To file a leave, you can click on the plus blue icon on the lower right portion of the mobile app


You can select the dates from the calendar. For multiple dates, you can click and drag to highlight the dates you want to select.


Then select a leave type


After selecting the leave type, you can now create a comment. Click save once you already filled up the information for your leave. It will be uploaded to Brevity software for approval

Brevity Mobile App - Incidents


There are instances that the client will have an Accident / Incident case. You can file a report by using the Brevity Mobile App. Click on the Incident tab and it will show you the previous and current cases.

Filling an Accident / Incident

From the Incident page, you can click on the plus blue icon on the lower right portion to create a new Accident / Incident report


You can fill out the information of the Accident / Incident. Once done, click save to file the accident / incident of the client.

You can share documents for all the employees that are registered in Brevity software.

Sharing a Document

To share a document within the employees, Go to brevity software and click administration, then click branch setup.


On the top right portion of the page, click documents. It will show you all the shared files within the employees.

You can upload files by clicking upload or you can drag the file and place it on the box located on the right side. You can also create a folder in the shared documents.


Once the file has been uploaded, you need to give permission to view the file. Click on the action button and click allow user so all the employees could see the file.

  1. Allow Client: If you click this option, all the clients could also see the file
  2. Allow / Deny User: If you click allow user, it will share the file in all employees. If you click Deny User, the permission to view the file will be removed
  3. Download: Clicking this option will download the file to your computer.
  4. Delete: If you click this option, the file will be deleted from the shared documents. Be careful to delete a file because you cannot retrieve it once it has been deleted.
  5. Move: You can move the file to a folder.

Checking the Shared File

In Brevity mobile app, you can select documents and it will display all the documents that have been shared with all employees.

Click on the document to view the shared document.

Changing the Support Worker Password

You can change the support worker's password from the Brevity Mobile App. Click on the three horizontal lines from the upper right corner of the Brevity Mobile App to show the User Options.


From the Change Password section, you need to type the current password from the current password box. Then on the New password box, type the password you want to use and then do the same with the confirm password box to verify if the new password will match.
