Another way to manage the client's schedule is by using the schedule board. You can cancel shifts, change time, switch worker or create a new shift using this page. To view the shifts in calendar view, check Schedule Board and managing schedules page


To get into service schedule page, click clients then click service schedule.

Navigating Service Schedule


On this page, you can find the following options that can be used in the service schedule:

1. Status dropdown: This menu diplay the client's shift according to their status.
2. New Button: This will create a new service schedule for the client.
3. Edit Button: Using this button will allow the user to edit the schedule for the client.
4. Action Menu: This menu can do specific actions on the current service schedule.
5. Date: This option can be used to display the service schedule for a specific time frame.
6. Search Box: This option can be used to display all schedule of that specific client
7. Display drop-down: Can be used to show the number of service schedule in the list.
8. Select All checkbox: Clicking this checkbox will select all the service schedule in the table
9. Tabs: Clicking on a different tab will sort the schedules in either ascending or descending order.
10. Navigation Button: Switch between pages

Creating a new Service Schedule


To create a new service schedule, click on the + New button to open the new service schedule record page.


Fill up all the information needed in the fields then click save to save the service schedule. Click close (next to save button) to go back to the service schedule page.

Showing Service Schedule by Status

Using the status dropdown will show the list of client's schedule with the selected status. Click on the status dropdown to show the list of available service schedule status

Finding Service Schedule


There are different options that can be used to find a specific service schedule for the client. To find the service schedule for a specific date(s), use the date option to show all the service schedule for the specific dates.


To find the schedule for a specific client, you can use the search field to display all the schedules for that client. You just need to type the name of the client in the search field and it will display all the schedule for that client


You can input a specific date(s) and use the search field to search for clients name. This will show the service schedule of the specific client under those dates you selected

Editing Service Schedule

Click on the service schedule you want to edit and click the edit button. The shortcut for this is by double-clicking the service schedule you want to edit.


Change the fields you want to edit and click save to save the changes.

Bulk Cancel


Bulk Cancel is an option where you can cancel a service schedule. Select the service schedule you want to cancel (Click this and scroll down to selecting clients to see options in selection) and click bulk cancel to cancel the service schedule.


It will have a pop up on the upper portion asking if you want to delete the selected service schedule. Click Ok to delete and click cancel if you click bulk cancel by mistake.

Change Time


Service Schedule can be rescheduled by selecting the change time button. Select the service schedule you want to reschedule (Click this and scroll down to selecting clients to see options in selection) and click change time button.


Select the time you want to set for the service schedule and click save. Click close to return to service schedule list.

Switch Worker


Shifts can be assigned to another employee. To switch the employee, select a service schedule that you want to change the employee then click Switch worker button 

 


A list of the employee will be shown. You can use the search field to search for the employee that needs to be assigned then click the name of the employee. Click select on the lower right and click close to return to the service schedule list

Changing Service Type to Multiple Service Schedule

You can change the service type of multiple service schedule from this page. You can use the date box if you want to show the shifts for the selected date. You can also use the search box to search for the keyword of the service type (this could be the time, date, service type).


Once the service schedule that you want to change are displayed, you can click on the checkbox besides the ID column to select all the shifts. You can use the CTRL or shift key to select different shifts from the list (see Selecting Multiple Record from the List on how to select different records).


It will highlight the shifts that you selected on the table. Click on the change service type button to change the service type of the selected shifts


The select service type window will appear. You can click on the drop down to show the available service type that you can use to change the service type of the service schedule. 


The drop down will show all the service types that can be used to change the service type. The change of the service type will take effect if the service type is linked to the client's funding. 


Select the Service type that you want to use and then click change button.


Click on the OK Button to confirm changing the service type


The service type will be changed for the service schedules that you selected.


Service type cannot be changed on shifts that has completed and cancelled status.You need to unlock the shifts first before you can change the service type.
