Client Groups is a section from Brevity where you can group the clients with the same service at a time. You need to include the group services first to the client’s funding if the client is using the NDIS fund for the group service.


You can manage the client’s group list by going to the Clients then selecting the Group tab from the sub menu.

Adding Group Service

Before you can add the clients within the group, it is important that you need to link the group service to the client's funding first. 


To add the group service to the client's funding, click on Clients and click clients to go to the clients' list.


You can use the search box to search for the client by typing the client's name. Then click on the client's name and click edit to edit the client's information. Alternatively, you can double-click the client's name to edit their information.

Adding the service type to the Funding

Locate the client funding section and double-click on the client's fund where you want to add the group service.


Since we are just adding a service to the client's fund, there is no need to unpublish the funding. Under the services section, click on the add button to add the service 


Fill out all the information of the group service. After putting all the information, click the save button to save the service


You can use the search box to search for the group service and click the service that you want to add.

Creating a New Client Group

To create a new client group, go to the Clients from the Main Menu and then click on Groups from the sub menu.


Click on the + new Button to create a new client group. 


Set the name for the Group and then click on the save button

Adding clients to the Group


You can now add clients that will be included in the group. To add clients, click on the add button under the clients section


Fill out the information on this page. For the group fund, select the client's fund that has the group service added to it. Then click the save button to add the client to the group.


TIP

You can search the client by typing their name in the client box and then click the client's name to select the client. The same step can be done to search for the group fund


Repeat the steps if you need to add more client to the group.

Deleting a client from the group

To delete a client from the group, you can click on the delete button on the far right side of the client's name and that client will be deleted from the group.

Creating a Group Service Schedule

There are two ways to create a new Group Service Schedule. The first way is by clicking on the New service from the main menu and the second way is by clicking on the plus sign from the schedule board.

Creating a Group Service schedule from New Service

The first way to create a group service schedule is by clicking on the New Service Icon on the menu.



It will open the new service schedule record page. Fill out all the information for the group service.

Take note of the type. The type should be set to group and not individual. Click save once you are done entering the service schedule details.

Creating a group service schedule from the Schedule Board

You can create a group service schedule from the schedule board by clicking on the + sign of the Group Service schedule. 


It will open a pop up. Fill in the details for the group service schedule.


Once you filled in the details, Click on the Add Shift Button to create a group service schedule.

Adding Clients to the service Schedule

There are also two ways in adding a client to the group service schedule. The first one is by going to the clients section of the service schedule and the second one is by clicking on the select clients button.

Adding the clients from the Client Section

After clicking save on the new service schedule, it will show a new page. On this page, you can add the clients that will be included in the group service schedule. 


To add clients, locate the roster section. Then on the client section, click on the add button to add the clients.


By default, it will list all the clients that are added from the group. you can add clients by clicking on the client's name. 

You can also add other clients to this group service schedule. From the client view, you can click on the drop-down menu and select "all clients". The list of all clients will be shown and you can add them to the group service schedule. You can also search for the client using the search box. 


After selecting the participating clients, click on the select button to confirm the selection of the clients.

Adding a client from the Schedule Board

To add a client from the schedule board, click on the group service schedule and then click on select clients button. 


A pop up window will open. This pop up will show all the clients that has the service type linked to their client's funding. If you cannot see the client's name, it means that you need to link the service type to the client's funding. See Adding Service type to Funding guide on how to add a service type to the client's funding.


Select the name of the participants for the group service schedule and then click on Add selected clients button.

Selecting the Employee

Under the roster section, you can add employees that will work in the group service schedule by clicking add button under the employees section.


You can also click on the group service type from the schedule board and then click on switch worker button.


You can use the different search option in the search field to show the employee(s) that will match with the requirements. Click the employee's name you want to add and then click select.


Click save to create save the group service schedule.

Assigning more than 1 Employee to Group Schedule

If the group schedule requires 2 or more employee for the group schedule, you can either create or edit the service type.

Editing the Group


You can click on the checkbox and click edit to edit the group. You can also use a shortcut by double-clicking the name of the group you want to edit.


Fill up the necessary changes in the group and click save to save the changes made.


On this page, you can also delete clients so they will not be included in the group. To do this, can click on the delete icon on the far right side of the client name

Deleting a Group


To delete a group, click on the checkbox and click on the delete button that can be found on the upper right corner


A pop up will display. Click on Ok to delete the group and click cancel if you click delete by mistake. 


If you delete the group, all the clients associated with that group will also be removed from the group.

Removing a client from the Service Schedule

There are two ways in removing the client from the group service schedule. The first way is by opening the group service schedule and then clicking on the delete button from the client's line.


If you cannot see the delete button, you need to zoom out the browser's view. You can hold the CTRL key from the keyboard and use your scroll key from your mouse to zoom in and out the view.


The second way to remove the client from the Group service schedule is by clicking on the service schedule and then clicking on the select clients button.


It will open a pop up window, you can select the client(s) that you want to remove from the group service. Click on the remove selected clients button to remove the client from the group service schedule.



If the client is not on the list from the image above, it means that the service type is not linked to the client's funding. You need to link the service type to the client's funding so you can see them from the list.
