This page guides you through the process of creating new and maintaining existing cancellation policies and utilising them against client services.

Introduction

Cancellation policies within the Brevity are accessed through the Administration>14.Cancellation Policies menu. Applying a cancellation policy against a service that has been cancelled, will determine what proportion of that service is invoiced to the client. Cancellation policies that are delivered within the Brevity are in line with what is prescribed by the NDIS.

Navigating the Cancellation Policies page

The following is an outline of the fields that comprise the Cancellation Policies page:

  • Name: This field is used to input a description of the name that will identify the Cancellation Policy, within the Cancel Shift screen.

  • Charge Percentage: This field is used to input percentage of Service Cost that will be charged to the client for this Cancellation Policy.

  • Max Payment Hours: This field is used to input the maximum number of hours staff will be paid for a Service that has used this Cancellation Policy.

  • Description: This field is used to input a summary of the Cancellation Policy


Creating a Cancellation Policy

To create a Cancellation Policy record observe the following steps:

  1. Select the Administration>14.Cancellation Policies menu to open Cancellation Policies List page within the browser.

  2. Select the (plus) New button to open a .New 14. Cancellation Policies record page.

  3. Within the name field input a description of the Cancellation Policy so that it is identifiable within the Cancel Shift form.

  4. Within the charge percentage field input a numeric value that will be used to calculate the percentage of the shift that will be charged to the client.

  5. Within the max payment hours field input a numeric value that will be used to determine the maximum hours payable to the support worker for a client shift cancelled using this policy record.

  6. Within the description field input a summary of the purpose and criteria of the cancellation policy.

  7. Select the save button to create the record.

  8. Select the Close button to exit back to the Cancellation Policies List page.


Edit a Cancellation Policy

To edit a Cancellation Policies record observe the following steps:

  1. Select the Administration>14.Cancellation Policies menu to open Cancellation Policies List page within the browser

  2. Search for the cancellation policy record from within the Cancellation Policies list.

  3. Highlight the cancellation policies record to be edited.

  4. Either click on the edit button or double click on the cancellation policies record to open it within the cancellation policies page.

  5. Edit the policy record
    update the name, description or the percentage values.

  6. Select the save button to update the record.

  7. Select the Close button to exit back to the Cancellation Policies List page.


Delete a Cancellation Policy

Although not recommended, and you are referred to the notes on record deactivation. To delete a Cancellation Policy record observe the following steps:

  1. Select the Administration>14.Cancellation Policies menu to open Cancellation Policies List page within the browser.

  2. Search for the Cancellation Policies record from within the Cancellation Policies list.

  3. Highlight the Cancellation Policies record to be deleted.

     

  4. Select the "Delete Button" in the upper right portion of the window.

  5. Select the OK button to confirm the deletion of the selected record. Record listing will refresh.


Activate and Deactivate a Cancellation record

To edit the activity status of a Cancellation Policies record observe the following steps:

  1. Observe the steps 1-4 as outlined under Edit the Cancellation Policies record.

  2. To deactivate the Cancellation Policies record select the Deactivate button . Deactivating the record will set it to read-only.


     

  3. To activate the Cancellation Policies record select the Activate button.

  4. Once done, you can exit back to the Cancellation Policies List.


Utilising a Policy for Shift Cancellation

To utilise a cancellation policy when cancelling a client shift observe the following steps:

  1. Select the client shift followed by selecting the (blue star) Cancel Selected Shifts icon located at the bottom right of the Schedule Board. Brevity will present to the Cancel Shifts page.

  2. Select the Cancellation Policy (1) that will be applied against the client shift.

  3. From the drop down list select the applicable cancellation reason (2)

  4. Input comments as to why the client shift is being cancelled, this information will be reflected in the shift notes field of the client service schedule record.

  5. Select the Cancel Shifts button , to update the schedule status to cancel.
