Introduction

Qualification records within Brevity are accessed through the Administration>Qualifications menu. Qualification codes are used to define the employee (user) compliance records that are required based upon the position occupied by the employee. Qualifications can include records related with certifications, professional memberships, training, experience, the currency of policies, trade or skills registration, character checks or currency of licensing.


Navigating the Qualification Page

The following is an outline of the fields that comprise the Qualification page:

  •  Type: This is a drop down field that lists the qualification category.

  • Name: This field is used to input the name of of the qualification record that will be selected when assigning the record against the employee position.

  • Description: This field is used to input a narrative as to the qualification purpose. Input is optional.


Create a Qualification record

To create a Qualification record observe the following steps:

  1. Select the Administration>Qualification menu to open Language List page within the browser.

  2. Select the (plus) New button to open a Qualification page.

  3. Within the type field select a value from the drop down list to categorise the qualification record.

  4. Within the Qualification field input the name of the Qualification record that will used when assigning the record to the employee position.

  5. Data entry into the description field is optional. This field can be utilised to input a narrative of additional information on the qualification.

  6. Select the save button to create the record.

  7. Select the Close button to exit back to the Qualification List page.


Edit the Qualification record

To edit a language record observe the following steps:

  1. Select the Administration>Qualification menu to open Qualification List page within the browser.

  2. Search for the Qualification record from within the Qualification list.

  3. Highlight the Qualification record to be edited.

  4. Either click on the edit button or double click on the Qualification record to open it within the Qualification page.

  5. Edit the Qualification record. Update either the Type, name or description field(s). To assign employees observe the comment under the topic Assigning employees to a qualification.

  6. Select the save button to update the record.

  7. Select the Close button to exit back to the Qualification List page.


Delete a Qualification record

Although not recommended, and you are referred to the notes on record deactivation. Deleting a qualification record will unlink it from the employee position, which will then remove it as a compliance record from the Compliance Check data grid of the employee profile.

To delete a Qualification record observe the following steps:

  1. Select the Administration>Qualification menu to open Qualification List page within the browser.

  2. Search for the Qualification record from within the Qualification list.

  3. Highlight the Qualification record to be deleted.

     

  4. Select the "Delete Button" in the upper right portion of the window.

  5. Select the OK button to confirm the deletion of the selected record. Record listing will refresh.

    Record will be unassociated from the Employee Position.
    Qualification record will be removed from the Compliance Check data grid on the Employee profile, data updated against the compliance record Compliance Check data grid will also be lost.


Adjust the activity status of a Qualification record

Editing the activity status of the Qualification record to inactive will make it unavailable against the employee position record which will in turn temporarily suppress it as a compliance record from the Compliance Check data grid of the employee profile. Any data entered to the compliance record is preserved until such time the record is reactivated.

To edit the activity status of a Qualification record observe the following steps:

  1. Observe the steps 1-4 as outlined under Edit the Qualification record.

  2. To deactivate the Qualification record select the Deactivate button . Deactivating the record will set it to read-only.


Record will not be available from the Employee Position.
Qualification record will be temporariy suppressed from the Compliance Check data grid on the Employee profile.

 

  1. To activate the Qualification record select the Activate button.

  2. Once done, you can exit back to the Qualification List.

 


Reviewing employees assigned to a Qualification

To identify all employees that have a particular qualification registered against their employee profile, you can review the records listed within the Employees datagrid as shown below.


Assigning employees to a qualification

For additional information on the assignment or qualifications against the employee profile refer to the following topic Employee Qualifications . The Qualification record does enable the system user to search for an assign multiple employees to the qualification as opposed to undertaking that activity against the individual employee profile. To undertake this activity observe the following steps:

  1. Observe steps 1-4 as outlined under the topic Edit the Qualification record.

  2. Click the (blue star) icon located above the employees datagrid to make visible a drop down field to the right of the Employees label.

  3. Within the employees drop down field either position your cursor an input the name of the employee to return matching names or scroll through the employees listed and make the appropriate selection.




    Please note that if the employee record is not listed you can select the Advanced Search icon to search for and retrieve the employee from the find page.



Unlink an employee from a qualification

To unlink an employee from the qualification click the Remove link icon as shown below.
