Introduction

The maintenance or new and existing leave period records is undertaken through the Leave Period page which is accessed by selecting the Employees>Employee Leave sub-menu.


Additional Information

Leave applications from your support workers can be registered through the mobile application, for additional information refer to the topic Support Worker Leave Request. Please note that restrictions can be set through the organisations branch record, that prevent an employee from registering a leave request through the Brevity Care mobile application, for additional information refer to the topic Branch .

Where the Manager field has been configured onto the employee profile, the immediate manager responsible for the support work will be notified by email that a leave application has been submitted


Navigating the Employee Leave Record

The following is an outline of the fields that comprise the Employee Leave Record form:

  1. Employee Name: This is a drop down field that lists the names of employees registered through the user module and available to be assigned to the leave request.

  2. Leave Reason: This is a drop field that lists the leave type. Values available include Unpaid, Annual Leave, Personal Leave, Workers Compensation, Maternity and Long Service Leave.

  3. Leave From: This field is used to list the first day of the leave period. Update the time from the default of 00:00 if the leave covers only a partial period of time (example 2 hours leave).

  4. Leave To: This field is used to list the last day of the leave period. Update the time from the default of 23:59 if the leave covers only a partial period of time (example 2 hours leave).

  5. Leave Comments: This field is used to specify the reason for the requested full or partial leave period

  6. Status: This is a drop field that lists the approval status. Values available include Approved, Rejected and Awaiting Approval.

  7. Manager Comments: This field is used to specify any comments from the manager related with the approval or rejection of the leave request

  8. Employee Services: This section of the leave form, lists the employee shifts that fall within the leave period. Double clicking the service line will list the particulars of service schedule on a separate page.

Add an Employee's Leave Record

To create a new Employee leave period record observe the following steps:

  1. Select the Employees>Employee Leave sub-menu.

  2. Click the +New button from the leave period list to open up the New Employee Leave record form.

  3. Input the employee's leave details.

  4. Once done, click on the save button to create a new employee's leave.

Edit the Employee's Leave

To edit an existing Employee leave period record observe the following steps:

  1. Select the Employees>Employee Leave sub-menu.

  2. Search for the employee leave record within the Leave Periods List.

  3. Highlight the Employee leave record to be edited.

  4. Either click on the edit button or double click on the leave record to open it within the Leave form.

  5. Edit the leave details.

  6. Once done, click on the save button to save the revised employee's leave detail.

Delete the Employee's Leave Record

To delete an Employee leave period record observe the following steps:

  1. Select the Employees>Employee Leave sub-menu.

  2. Search for the employee leave record within the Leave Periods List.

  3. Highlight the Employee leave record that you want to delete.

  4. Click on the delete button to delete the record. Take note that once you deleted the record, you cannot retrieve it.

  5. Click on OK button to confirm the deletion of the employee's leave record.

Change the Employee's Leave Status

The status of the employee leave record is set through this page. To update the status observe the following steps:

  1. Select the Employees>Employee Leave sub-menu.

  2. Search for the employee leave record within the Leave Periods List.

  3. Highlight the Employee leave record to be edited.

  4. Either click on the edit button or double click on the leave record to open it within the Leave form.

  5. Update the status field with the applicable status of approved or rejected.

  6. Update the Manager Comments field

  7. Click on the save button to save the revised employee's leave record.

An employee that has access to the Brevity care mobile application can review the status of their leave requests.

Updating Schedule Services

Under the Employee Service section of the leave form you will observe the employee's scheduled shifts that fall within the period of leave. Once the leave period has been approved any shifts for the employee will be unassigned.
