This page guides you through outlines the creation and the management assignment of service providers against the client profile.

Introduction

Brevity allows the organisation to maintain multiple service provider records against the client profile, for the purpose of being able to identify the .

Service provider records assigned would ordinarily relate with Support Coordinators providing external CoS services and providers associated with Invoices processed by the Plan Manager, however the organisation can identify any external service organisations that have has an interaction with the participant. It is important to appreciate that the service provider records that you list within this section of the client are collected for information purposes only.

Service Provider records are specified set through the Service Providers data-grid which is located under the Related Contacts tab of the client profile.

The following is an outline of the fields that comprise the Client Service Provider page:

  • Client: This is a drop down field that lists the name of client for which the contact relates.

  • External Provider: This is a drop down field that lists the name of the service providers maintained within the Brevity application.

  • Service Provided: This field is used to input a narration of the services that are provided by the service provider.

  • Trusted Provider: This field is used to identify the provider as trusted when processing a PM invoice. It is to be noted that for the first PM invoice processed for a trusted provider, the product will provide a first invoice recieved alert as shown below.

  • Rate type: This is a drop down field that lists the rate types.

  • Rate: This field is used to input the rate charged by the service provider.

  • Save: This button is used to create the record as well as save updates to an existing record.

  • Close: This button will close the Client Service Provider record page.

  • Deactivate and Activate: This button will either deactivate or make active the Client Service Provider record.

Communicating with the Service Provider

Once a service provider has been assigned to the client profile, we can use the email function on the participant profile to communicate with the service provider. However it is important to remember that the service provider record will need to have an email address reflected with the record profile.

As shown in the image below our service providers assigned to the participant profile are listed within the communication party drop list categorised under Service Providers. Using the participant profile for our messaging we can avoid a disparate approach simply by consolidating all email communications, through a single record.

Creating a Service Providers record

To create a client contact Service Provider observe the following steps:

  1. Select the Clients>Clients sub-menu to open the Client List page into the browser.

  2. Search for the Client record from within the Client list.

  3. Highlight the Client record to be edited.

  4. Either click on the edit button or double click on the Client record to open it within the Client form.

  5. Using the vertical scroll bar, slide the client page until you reach the

First Name field, input the given name of the contact.
  • Within the Last Name field, input the surname of the contact.

  • Within the Date of Birth field specify the date the contact was born. The date can be specified as free text or by using the calendar picker.

  • Within the Relationship field,

  • Within the Emergency Contact field indicate either YES or NO.

      Within the Rate field, select the applicable rate from the drop down list

  • Under Address panel there are a number of fields for registering the address, these include the Address 1, suburb, state and postcode fields. Data entry is optional within these fields.

  • Under Contact panel there are a number of fields for registering phone and email contact details, these include the Email, Home Phone, Mobile Phone and Work Phone fields. Data entry is optional within these fields.

    Editing a Service Providers record

    To edit a client contact provider observe the following steps:

    1. Select the Clients>Clients sub-menu to open the Client List page into the browser.

    2. Search for the Client record from within the Client list.

    3. Highlight the Client record to be edited.

    4. Either click on the edit button or double click on the Client record to open it within the Client form.

    5. Using the vertical scroll bar, slide the client page until you reach the

    Deleting a Service Providers record

    Although not recommended, and you are referred to the notes on record deactivation, to To delete a contact provider record observe the following steps, off which there are two approaches available.

    Deleting from the Client Contact data-grid

    1. Select the Clients>Clients sub-menu to open the Client List page into the browser.

    2. Search for the Client record from within the Client list.

    3. Highlight the Client record to be edited.

    4. Either click on the edit button or double click on the Client record to open it within the Client form.

    5. Using the vertical scroll bar, slide the client page until you reach the

    1. Service Provider that is to be deleted.

    2. Select the Delete icon located to the right of the record to present a pop-up screen

    Deleting from the Client Contact record

  • Refer to steps 1 - 6 as listed above.

  • Highlight and double click the contact record to open it within the Edit Client Contact record page within the browser.

  • Select the DELETE button from the ribbon bar

  • Activate and Deactivate a Service Provider record

    To edit the activity status of a Client Contact provider record observe the following steps:

    1. Select the Clients>Clients sub-menu to open the Client List page into the browser.

    2. Search for the Client record from within the Client list.

    3. Highlight the Client record to be edited.

    4. Either click on the edit button or double click on the Client record to open it within the Client form.

    5. Using the vertical scroll bar, slide the client page until you reach the

    Deactivated contact records will not be available for selection from the fields listed within the Primary Contact Persons or POA panels
