This page guides

a core app user to book company resources for servicing the clients during their shifts.

A core app user can setup and book company resources for shifts such as a company car, equipment or rooms. It often happens that one resource can be used by multiple support workers at different shift times. The resource can be company vehicle, room and equipment's.

Core app user can create as many resources which are provided by the company to support worker during the scheduled shift times. The created resources can be booked(Pre-book) to avoid the inconvenience.

  1. Creating the resources that can be booked is done via Employees from main menu and clicking on Booking Resource from sub menu.

  2. Click on the +New to create a new booking resource.

  3. This requires setting the resource name, type (Vehicle, Room or Equipment) and branch. After entering the information click Save.

  • Type: Select type of resource such as Vehicle, Room and Equipment.

  • Name: Enter resource name to identify the resource.

  • Branch: Select the branch for which the resource will get available.

After saving the resource it will get listed in the active bookingresource/ all bookingresources view.

For booking the resources, core app user can navigate to schedule board. If there are Booking Resources setup for the branch, an additional button will show that allows them to book resources for selected shifts, same as when scheduling staff.

  1. Click on the shift from the schedule board and the booking resource button will appear on the lower right portion of the schedule board.

  2. Select the resource that you have created from the booking resource section.

  3. Click on select to select the resource for the service schedule.

  4. You will see the resource from the bottom part of the details of the service schedule. If the resource is not available, the same availability checks and warnings will be done for resources as well.

  5. If you go to the employee’s view by clicking on the 3rd icon from the search box that is located on the upper left, you will see the resources on the bottom part of the view.

InfoIf you cannot see the resource, that is because you need to make sure that the shift has an employee assigned to the service schedule. Otherwise, you will just see it from the unassigned section of the schedule board.

Introduction

The Resource Bookings list is accessed through the Employees>Booking Resources sub menu. Within Brevity we categorise resources as vehicles (pool vehicle), tools of trade & equipment and facilities (meeting rooms). The maintenance of resources resource allows for the physical asset to be pre-booked to either an internal activity or client service through the schedule board.

Navigating the Booking Resource Page

The following is an outline of the fields that comprise the Booking Resource page:

  1. Booking Resource name: This label lists the name of the booking resource, as it will be seen through the schedule board and against the schedule activity or client service.

  2. Save: This button is used to create as well as save updates to an existing record.

  3. Close: This button is used to close down the Booking Resource page.

  4. Deactivate: This button is used to adjust the activity status of the Booking Resource record.

  5. Notes: This button provides access to the notes function. Notes can be retained against the Booking Resource thereby tracking actions and communications.

  6. Documents: This button provides access to the document function.

  7. Delete: This button is used to delete the Booking Resource record.

  8. Type: This is a drop down field that lists values that can be used to categorise the resource.

  9. Name: This field is used to input the name of the booking resource, as it will be seen through the schedule board and against the schedule activity or client service.

  10. Branch: This is a drop field that provides a listing of the branches that can be assigned to the Booking record.


Creating a Booking Resource Record

To create a booking resource record observe the following steps:

  1. Select the Employees > Booking Resource sub menu to open the Booking Resource List page.

  2. Select the (plus) New button to open the New Booking Resource record page within the browser.

  3. Within the Type field select the applicable value that will be used to categorise the booking resource.

  4. Within the name field input a description of the booking resource. Clarity is important so it makes it easy to identify the resource when assigning it to a service through the schedule board.

  5. Within the Branch field select the applicable branch that will be assigned to the booking resource.

    The selection made will determine the availability of the resource for service assignment through the schedule board.

  6. Click the SAVE button to create the record.

  7. Click the CLOSE button to exit back to the Booking Resource List.


Editing a Booking Resource Record

To edit a booking resource record observe the following steps:

  1. Select the Employees > Booking Resource sub menu to open the Booking Resource List page.

  2. From the record listing, highlight the Booking Resource record that is to be edited.

  3. Either click on the edit button or double click on the Resource Booking record to open it within the browser.

  4. Edit the Booking Resource record. Edits to the record can include as follows:

    Booking category.
    Description of the Booking Resource.
    Branch assignment.

  5. Click the SAVE button to update the record.

  6. Click the CLOSE button to exit back to the Booking Resource List.


Changing the Activity status of a Booking Resource record

To edit the activity status of a Booking Resource record observe the following steps:

  1. Observe the steps 1 -3 outlined under the topic Editing a Booking Resource record.

  2. To deactivate the Booking Resource record click the Deactivate button

  3. To activate the Booking Resource record observe the step 1 above and select the Activate button.

  4. Once done, you can exit back to the Record List.


Deleting a Resource Booking record

(blue star) You are advised that you should not delete a Resource Booking record that has been assigned to a client service. To delete a Resource booking record that has not already been assigned to a client service through the schedule board observe the steps outlined as follows. It is however recommended that you deactivate any resource booking record(s) that doesn't have have an immediate purpose.

 

  1. Select the Employees > Booking Resource sub menu to open the Booking Resource List page..

  2. From the record listing, highlight the Booking Resource record that is to be deleted.

  3. Select the "Delete Button" in the upper right portion of the window.

  4. Select the OK button to confirm the deletion of the selected record.

Allocating a Resource to a Client Service

The allocation of one or more resources to the client service is undertaken through the Schedule board.

The organisations active booking resources are reviewed through the employee view of the schedule board. Booking resource panels on the schedule board are shaded in blue.

To assign a booking resource to a client service observe the following steps:

  1. Access the schedule Board within the Brevity web application.

  2. Search for the client service that will be assigned the resource, by filtering the client list and scrolling through to the applicable day.

    Resources can be assigned to scheduled, pending, unpublished and unconfirmed services.

  3. Highlight the client service panel that is to be assigned the resource to make visible the Book Resource icon.

    You can book the resource against multiple services within the schedule period

  4. Select the Book Resource icon to open the Select Resource page.

    The resource list can be filtered by Resource Type and availablity.
    The Select Resource page can also be used to REMOVE a resource that has already been assigned to the service.
    Brevity will only allow the resource to assigned once to the service.

  5. From the listing select the resource that will be booked against the service

  6. Click the SELECT Button to update the schedule board within the booking.
