Introduction

Brevity allows the organisation to maintain multiple service provider records against the client profile.

Service provider records assigned would ordinarily relate with Support Coordinators providing external CoS services and providers associated with Invoices processed by the Plan Manager, however the organisation can identify any external service organisations that has an interaction with the participant.

Service Provider records are set through the Service Providers data-grid which is located under the Related Contacts tab of the client profile.

The following is an outline of the fields that comprise the Client Service Provider page:

  • Client: This is a drop down field that lists the name of client for which the contact relates.

  • External Provider: This is a drop down field that lists the name of the service providers maintained within the Brevity application.

  • Service Provided: This field is used to input a narration of the services that are provided by the service provider.

  • Trusted Provider: This field is used to identify the provider as trusted when processing a PM invoice. It is to be noted that for the first PM invoice processed for a trusted provider, the product will provide a first invoice recieved alert as shown below.

  • Rate type: This is a drop down field that lists the rate types.

  • Rate: This field is used to input the rate charged by the service provider.

  • Save: This button is used to create the record as well as save updates to an existing record.

  • Close: This button will close the Client Service Provider record page.

  • Deactivate and Activate: This button will either deactivate or make active the Client Service Provider record.

Communicating with the Service Provider

Once a service provider has been assigned to the client profile, we can use the email function on the participant profile to communicate with the service provider. However it is important to remember that the service provider record will need to have an email address reflected with the record profile.

As shown in the image below our service providers assigned to the participant profile are listed within the communication party drop list categorised under Service Providers. Using the participant profile for our messaging we can avoid a disparate approach simply by consolidating all email communications, through a single record.

Creating a Service Providers record

To create a Service Provider observe the following steps:

  1. Select the Clients>Clients sub-menu to open the Client List page into the browser.

  2. Search for the Client record from within the Client list.

  3. Highlight the Client record to be edited.

  4. Either click on the edit button or double click on the Client record to open it within the Client form.

  5. Using the vertical scroll bar, slide the client page until you reach the Service Providers panel.

  6. Select the (plus) Add New Record icon located above the Service Providers data-grid to open the New Client Service Provider record page within the Browser.

  7. Within the External Provider field position your cursor and either input in free text the provider name or select from the drop down list.

  8. Data inputs into the Rate Type and Rate fields is optional.

    Within the Rate field, select the applicable rate from the drop down list.

    Within the Rate field, input the rate charged by the service provider.

  9. Select the save button to create the service provider record. 

  10. Click on the close button to exit from the page and return to the client page.


Editing a Service Providers record

To edit a provider observe the following steps:

  1. Select the Clients>Clients sub-menu to open the Client List page into the browser.

  2. Search for the Client record from within the Client list.

  3. Highlight the Client record to be edited.

  4. Either click on the edit button or double click on the Client record to open it within the Client form.

  5. Using the vertical scroll bar, slide the client page until you reach the Service Providers panel.

  6. Highlight and double click the provider record to open it within the Edit Client Service Provider record page within the browser.

  7. Update the changes to the record.

  8. Click the SAVE button to update the provider record.

  9. Click the CLOSE button.


Deleting a Service Providers record

To delete a provider record observe the following steps.

  1. Select the Clients>Clients sub-menu to open the Client List page into the browser.

  2. Search for the Client record from within the Client list.

  3. Highlight the Client record to be edited.

  4. Either click on the edit button or double click on the Client record to open it within the Client form.

  5. Using the vertical scroll bar, slide the client page until you reach the Service Providers panel.

  6. Highlight the Service Provider that is to be deleted.

  7. Select the Delete icon located to the right of the record to present a pop-up screen

  8. Select OK to confirm the deletion. The Service Provider data-grid will automatically refresh.

Activate and Deactivate a Service Provider record

To edit the activity status of a provider record observe the following steps:

  1. Select the Clients>Clients sub-menu to open the Client List page into the browser.

  2. Search for the Client record from within the Client list.

  3. Highlight the Client record to be edited.

  4. Either click on the edit button or double click on the Client record to open it within the Client form.

  5. Using the vertical scroll bar, slide the client page until you reach the Service Providers panel.

  6. Highlight and double click the provider record to open it within the Edit Client Service Provider record page within the browser.

  7. To deactivate the provider record select the Deactivate button, upon screen refresh the input fields will be disabled. The Deactivated provider will be retained within the data-grid.

  8. To activate the provider record select the Activate button.

  9. Once done, you can exit back to the Client profile.
