Introduction

Staff Appraisal records are managed through the employee profile. Selecting the Appraisal tile located within the left menu panel will provide you with access to the Staff Appraisal record function.


Navigating the Appraisal page

The following is an outline of the fields that comprise the Staff Appraisal page:

  1. Save: This button is used to create as well as save updates to an existing record.

  2. Close: This button is used to close down the staff warning page.

  3. Deactivate: This button is used to adjust the activity status of the staff training record.

  4. Notes: This button provides access to the notes function. Notes can be retained against the training profile thereby tracking actions and communications.

  5. Documents: This button provides access to the document function.

  6. Delete: This button is used to delete the staff training record.

  7. Employee: This is a drop down down field that by default lists the name of the employee to which the staff appraisal record relates. The value listed within this field SHOULD NOT be altered.

  8. Date: This field is used to list the date that the appraisal of the employee was undertaken. The date can be specified as free text or by using the calendar picker. Please observe that the date will default to the current system date.

  9. Review Date: This field is used to list the date that the appraisal of the employee will be reviewed. The date can be specified as free text or by using the calendar picker. Please observe that the date will default to the current system date.

  10. General Comments: This field is used to input a narration of any comments applicable with the employee appraisal.

  11. Punctuality: This is a drop down field is used to assess the employees punctuality when attending client services or when presenting for work based upon the selection of a value that lists on a scale of 1 - 9.

  12. Appearance: This is a drop down field is used to assess the employees appearance within the workplace or when interacting with clients based upon the selection of a value that lists on a scale of 1 - 9.

  13. Priority Management: This is a drop down field is used to assess the employees ability to assess and prioritize work loads based upon the selection of a value that lists on a scale of 1 - 9.

  14. Job Understanding: This is a drop down field is used to assess the employees understanding of their job and the associated activities that comprise that role based upon the selection of a value that lists on a scale of 1 - 9.

  15. Job Completion: This is a drop down field is used to assess the employees ability to complete the tasks associated with their job role based upon the selection of a value that lists on a scale of 1 - 9.

  16. Care Delivery: This is a drop down field is used to assess the employees quality of care provisioning based upon the selection of a value that lists on a scale of 1 - 9.

  17. Training Participation: This is a drop down field is used to assess the employees participation in training based upon the selection of a value that lists on a scale of 1 - 9.

  18. Team Work: This is a drop down field is used to assess the employees commitment to team work based upon the selection of a value that lists on a scale of 1 - 9.

  19. Motivation: This is a drop down field is used to assess the employees motivation to the job based upon the selection of a value that lists on a scale of 1 - 9.

  20. Initiative: This is a drop down field is used to assess the employees level of initiative based upon the selection of a value that lists on a scale of 1 - 9.

  21. Decision Making: This is a drop down field is used to assess the employees level of decision making based upon the selection of a value that lists on a scale of 1 - 9.

  22. Team Communication: This is a drop down field is used to assess the employees communication based upon the selection of a value that lists on a scale of 1 - 9.

  23. Written Communication: This is a drop down field is used to assess the employees communication based upon the selection of a value that lists on a scale of 1 - 9.

  24. Personal Presentation: This is a drop down field is used to assess the employees individual standards, values, self confidence and esteem based upon the selection of a value that lists on a scale of 1 - 9.

  25. General Understanding: This is a drop down field is used to assess the employees understanding of the organisation and their role based upon the selection of a value that lists on a scale of 1 - 9.

  26. Overall Achievement: This is a drop down field is used to establish an overall assessment based upon the selection of a value that lists on a scale of 1 - 9.


Creating an Employee Appraisal Record

To create an appraisal record observe the following steps:

  1. Select the Employees>Employees sub-menu to open the User List page into the browser.

  2. Search for the Employee record from within the User list.

  3. Highlight the Employee record to be edited.

  4. Either click on the edit button or double click on the Employee record to open it within the Employee page within the browser.

     

  5. Click the Appraisal tile located within the left menu bar, to open the staff Appraisal list.

  6. Click the (plus) button within the ribbon bar to open a blank staff appraisal page within the browser.

  7. Within the Date field update the field with the date of appraisal. The date can be specified as free text or by using the calendar picker.

  8. Although a data entry optional field , the Review Date field can be used to specify the date that the appraisal will be reviewed. The date can be specified as free text or by using the calendar picker.

  9. Within the General Comments field input a narration of comments.

  10. Within the Job Performance, Attitude, Personal Abilities and Overall Achievement panels ensure that you select an appropriate rating from the drop down list associated with the appraisal attributes.

  11. Click the SAVE button to create the record.

  12. Click the CLOSE button to exit back to the Staff Appraisal List.


Editing an Employee Appraisal Record

To edit an appraisal record observe the following steps:

  1. Observe the steps 1 - 5 outlined under the topic Creating a Staff Appraisal record.

  2. From the record listing, highlight the Appraisal record that is to be edited.

  3. Either click on the edit button or double click on the Appraisal record to open it within the browser

     

  4. Edit the Appraisal record . Edits to the record can include as follows:

    Registering a note through the Notes Panel.
    Uploading a document related with the Warning.
    Revision to the Review Date.
    Revisions to the field value set within the individual drop down fields listed under the Job Performance, Attitude, Personal Abilities and Overall Achievement panels.
    Assignment of additional information into the comments field.

  5. Click the SAVE button to update the record.

  6. Click the CLOSE button to exit back to the Staff Appraisal List.

 


Changing the Activity status of the Employee Appraisal Record

To edit the activity status of a Staff Appraisal record observe the following steps:

  1. Observe the steps 1 -3 outlined under the topic Editing a Staff Appraisal record.

  2. To deactivate the Appraisal record click the Deactivate button

     

     

     

  3. To activate the Appraisal record observe the step 1 above and select the Activate button.

     

  4. Once done, you can exit back to the Record List.

     


Deleting an Employee Appraisal Record

Although not recommended, and you are referred to the notes on record deactivation, to delete an Appraisal record observe the following steps:

 

  1. Observe the steps 1 - 5 outlined under the topic Creating a Staff Appraisal record.

  2. From the record listing, highlight the Appraisal record that is to be deleted.

     

     

  3. Select the "Delete Button" in the upper right portion of the window.

  4. Select the OK button to confirm the deletion of the selected record.
